Contingencies · if X happens, do Y

Decision trees so you don't have to think on the spot.

Pizza is late (past 6:15 PM).
  • Call vendor on the verified number above. Confirm ETA.
  • If ETA > 20 min: have the Floater walk to the nearest food spot to bring back a small backup (or send Ops Deputy in the car).
  • Announce to room: "Pizza is on its way, more in 10. Stick around." Keep tone calm.
  • Push the welcome talk to 6:30 to fill space.
Attendance is low (under 20 by 6:20).
  • Do not panic. Tighten the room: pull chairs in, drop unused tables, cluster food and drink table near where people are standing.
  • Floater goes to Student Union hallway to invite walk-bys ("Free pizza in The Den, casual community thing, come grab a slice").
  • Move welcome to 6:35 to give walk-ins time to arrive.
  • Lean into "intimate" framing. Tell people you'd rather have 25 great conversations than 75 forgettable ones.
  • Re-order: do not hold back Wave 2 if attendance stays low; reduce or cancel Wave 2 by texting vendor at 6:30.
Attendance is unexpectedly high (over 75 by 6:15).
  • Open Wave 2 earlier. Text vendor at 6:20 to confirm Wave 2 is on track or to bump up arrival.
  • Buffer with bread/breadsticks if vendor offers, or have Ops Deputy run to nearby store for chips/drinks.
  • Spread food out to two tables to avoid bottleneck. Keep some pizza in box on side for refills.
  • Check-in: switch to QR-only signup (skip name tags briefly) to clear the line.
VIP / political staff arrives unexpectedly.
  • Floater intercepts at door. Welcomes politely. Notifies Hunter via tap or text.
  • Hunter greets briefly. Offers a slice. Does not interrupt the room. Keep nonpartisan.
  • Photo Lead takes a candid (not a posed shot unless they ask).
  • Add them to the partner thank-you sign mentally for the recap.
A/V fails (projector won't connect, mic won't work).
  • Skip slides. Welcome speech still works without them.
  • Background loop on laptop screen pointed at the room is fine.
  • Use phone hotspot if Wi-Fi is the issue.
  • Do not stop the event over A/V. The room is the show.
Volunteer no-shows.
  • Ops Deputy takes the missing role temporarily.
  • Recruit an attendee on the spot for low-skill roles (food refills, photo). Many will say yes.
  • If Photo Lead is the no-show, ask 2 attendees to share photos via a Drive folder link you have ready.
Bad weather / parking pain.
  • Parking is FREE all day Friday at UAA (per UAA Parking Services). No pay 'n park needed. Tell attendees this explicitly in the "tonight" post.
  • South Lot is closest to the Student Union. Pin Waze directions in your social posts.
  • Check Thursday forecast at weather.gov/afc. If snow/heavy rain: have towels at check-in.
  • Anchorage in late May is typically 40s-50s, possible showers. Plan light layers, not coats.
Cleanup is taking too long.
  • Photo Lead and Floater pivot to cleanup after 8:00 PM.
  • Trash bags by exit, not in food zone. Two trash runs before 8:30.
  • Receipts photographed, not collected last minute. Take pics as you go.

Welcome speech (6:20 PM, 90 seconds)

Hey everyone, welcome.

I'm Hunter. I'm a recent UAA grad and I help run Alaska Crypto Club and the local Stand With Crypto Alaska chapter. Tonight is Anchorage's piece of Bitcoin Pizza Day, the global Pizza Party that PizzaDAO runs every year. It's a celebration of the first real-world bitcoin transaction, two pizzas bought for 10,000 BTC back in 2010. We're celebrating with our own pizzas at The Den.

It's casual. There's no formal program. The point is for you to meet a few people you didn't know an hour ago.

A few thank-yous: PizzaDAO, Stand With Crypto Alaska, UAA for hosting us at The Den, [pizza vendor] for the food, our volunteers, and you for showing up.

Pizza Wave 2 lands around 7. Stick around. Grab a name tag if you haven't. Take a photo or two.

If you want to stay connected with future events, scan the QR sign or hit rsv.pizza/anchorage. That's it. Enjoy.

"If lost / running late" SMS reply

Hey! We're in The Den at the UAA Student Union, 2921 Spirit Way. Look for the pizza signs at the entrance. Side door if main is locked. Text if you can't find us.

Floater walk-by invite (5:45–6:30)

"Hey! We're doing a community pizza thing in The Den right now, totally free, casual. Bitcoin Pizza Day. Come grab a slice if you want."

If they ask what's the catch:
"No catch. It's a global event PizzaDAO runs every year. Free pizza for whoever shows up. Local builders, students, curious folks. No pitch."

7:35 PM closing reminder (2 min)

Hey folks, quick wrap-up.

Thanks for coming out tonight. Special thanks to PizzaDAO, SWC Alaska, UAA, [vendor], and our volunteers.

If you want to stay in the loop for the next event, hit the QR sign or rsv.pizza/anchorage. We'll send updates for the next Crypto N Coffee and the next workshop.

Doors open until 8. Grab another slice. Take a photo or two. See you at the next one.
