Reservation block 5:00–9:00 PM (4-hour block, already paid · invoice settled).
Add-on time: $25 for up to 4 more hours. Declined — 5 PM access is enough.
Early access · come in 4:30 if room is free Cody: "Come on in somewhere between 4:30 and 5 and you'll be fine. We've got dedicated staff to help you at 5."
Translation: you can show up at 4:30 informally. Dedicated staff guaranteed at 5:00. If you arrive 4:30, room may already be open from earlier AV work.
Doors Building doors stay unlocked until end of event. Venue staff (Cody/student manager) handle lock-up after.
Wolf-card doors: always locked (IT-controlled, can't change). Every wolf-card door has a paired normal door open 8 AM until event end. Attendees without UA ID can enter via the normal doors.

A/V · the one thing to know about

⚠ AV is in repair mode right now — but our setup is simple enough that it doesn't matter Cody flagged: they swapped their wireless HDMI last week, all three speaker types are misbehaving, and the mic needs reprogramming. AV team is doing fixes during empty room time.

Our risk profile: low. Cody's exact words: "everything you said sounds good, like super solid. You've done a great job."

Why we're fine: we only need projector + brief mic + light music. All three have working backups Cody confirmed.

Room setup · what we told Cody

Layout Networking / community event style. Mix of standing + seated. ~30–50 people.
Lights Standard room lights. Cody confirmed: no issues.
Music Light background music. JBL speakers via Bluetooth.
Mic ~10 min total use. Wireless. No podium, no stand.
Slides Brief, via Google Slides on their in-house computer.
Kitchen Used for pizza staging between waves. Confirmed available.

Signage rules · IMPORTANT

⚠ Blue painter's tape only · take down after event Cody: "You can use them with blue tape and you just gotta take them down. That's the part that almost all the clients forget to do."

Rule: directional signs allowed in Student Union hallways. Must use blue painter's tape (not regular tape or stickers). Take every sign down before leaving — non-negotiable, this is the thing they care about most.

Action: assign sign take-down to the cleanup volunteer on the run-of-show. Already in 04_DAY_OF/run-of-show.html line "Cleanup begins. Trash, signs down, lost items."
Bonus: free sign holders available Black sign holders are available at the Student Union if we want them — ask the student manager on duty.
