📌 Final plan — zero paid print
Skipped the big parking-lot poster. 2-min walk from lot → Den works fine with 6–8 home-printed 8.5×11 arrow signs from directional-sign.html — bag the 3–4 outdoor ones in gallon ziploc bags or clear sheet protectors ($2) so they survive weather. Blue painter's tape to lampposts / doors / walls. One volunteer at the parking-lot edge 5:50–6:15 PM seals the deal.
Print-shop cards below are kept as fallbacks if you change your mind on the day-of. FedEx Dimond can do same-day until ~noon, America North Printers (907-562-6416, Mon–Fri 9–5) takes a Thu morning call. Neither is the plan.
Recommended order of operations
- Thu May 21: home-print 6–8 directional-sign.html arrows (mix of → ← ↑ ↓ for decision points). Slide 3–4 of them into gallon ziplocs or sheet protectors for outdoor weatherproofing.
- Thu May 21: home-print the 8.5×11 pack — pick from the cockpit Print menu. Core (QR · directional · welcome · run-of-show · volunteer brief · name tags · food labels · photo consent) + any easy add-ons you want (table tents · partner thanks · FREE PRIZE · survey card · pocket card · stay-connected handout). Each is one click → print.
- Fri May 22 · 5:20 PM: Floater posts the outdoor signs along the route, then indoor signs from lobby to corridor. Blue painter's tape only.
- Fri May 22 · 5:50–6:15 PM: volunteer stands at parking-lot edge to greet + redirect.
- Fri May 22 · 8:05 PM: floater pulls every sign down. Outdoor ones go in the trash.

What to physically place around UAA
Day-of and 1–2 days before, place these:
- 3 directional signs at: building entrance → corridor → Den door. Letter landscape with arrows
- 1 welcome sign at the Den door (the 5-step "Welcome" one). Letter portrait
- 4 QR signs: check-in table · pizza table · 2× on walls. Letter portrait
- 1 schedule poster on a wall where attendees can read it.
- 1 partner thank-you sign at front of room (visible in photos).
- 1 photo backdrop banner (optional but high-ROI) at one wall.
- Food labels on each pizza box stack.
- (Optional) 1 sandwich-board sidewalk sign outside the Student Union if UAA allows.
Refresh, don't blanket: you've already flyered campus. Don't add 20 more. Walk to the CS dept, the CBPP building, and inside the Student Union, and replace 3 specific worn flyers with the polished version. Done.
Bring extra masking tape and painter's tape
The single most under-bought day-of item: good tape. Two rolls of painter's tape (won't damage UAA walls) + 1 roll of masking tape backup. Costs $10 at Lowes/Home Depot/Target. Saves your night.
